What's in a name?

by Donna L. Baker, ACE, Baker Communications

If you are undertaking a large archiving job, take some time beforehand to plan the files' naming structure. For instance:

  • Government and other regulated organizations usually have naming policies – be sure to check.

  • If you work in a production or manufacturing environment, naming e-mail files using a product or part name and number may be the way to go.

  • Those of us who work on a project basis, such as designers and engineers, might find naming archive files according to project name the simplest way to keep track of e-mail exchanges.

  • Those providing client services, such as a lawyer or accountant can archive their e-mails using the client's name, just as they would likely organize their clients' paper files.
